TRUSTEES MEETING MINUTES — APRIL 11, 2002

Trustees present: Aufiero, Bonz, DiNapoli, Dini, Gartland.

Unit owners present: E. Zolnay, K. DeMartino, B. Sawyer, J. Sawyer, R. Harris and J. Schoppet.

Alpine representative: Cindy Green

Fred Aufiero called the Meeting to order at 7:02 PM.

Unit Owner Open Session: Kevin DeMartino inquired whose responsibility it is to repair outside faucets? Cindy Green to check the condo documents.

The Open Session was concluded at 7:10 PM.

March 2002 Minutes: Dick Bonz moved and Joe Dini seconded the motion to accept the minutes of the March 14, 2002 meeting as amended.

Vote: All in favor.

Treasurer’s report (Aufiero): There was a question about why the budgeted expenses for Landscaping (720) and Golf Course Maintenance (721) vary from the actual expenses YTD. This is due to the fact that the final budget was approved in September 2001; however, the landscaping and golf course maintenance contracts were not signed until the middle of November. Thus the total amount budgeted differed from the actual contract for each item. Additionally, the total golf course maintenance amount that was contracted includes an anticipated contribution from the Golf Subcommittee, which was not included in the budget numbers.

Dick Bonz moved and Joe Dini seconded the motion to approve the treasurer’s report as published.

Recreation Committee (Aufiero for Vineburgh): No activity during the month of March. The balance in the account is $77.91.

Maintenance Committee (DiNapoli): Lou spoke with Jim Vineburgh prior to the meeting to inform him that his request to have Waverly reseed the lawn adjacent to his unit had been denied. This will be done at the conclusion of the roofing/trim/painting project.

Lou reported that Waverly has completed repairing all of the sunken patios and walkways. Waverly has received a building permit from the Town of Bedford for rebuilding the first retaining wall and steps behind the units on Shire Lane. Work on this project will commence on Monday, April 15. This work will be paid for from the Reserve Account. Lou has requested a proposal from Waverly Landscaping to clean out the brush and heavy undergrowth at the entrance to Shire Lane as well as remove the 5 dead trees.

Social & Garden Committees (Griffin): No report.

Roofing/Trim/Painting Project (Aufiero): Fred Aufiero reported that Design Technique received bids back from the 5 contractors participating in the final RFP process. Tim Little from Design Technique reviewed the bids and has confirmed that the contractors all agreed to complete the work by November, 2002. He also confirmed that the base bid price did include all of the contract quantities.

LeClair Roofing was the low bidder at $820,000. During the walkthrough of the property, all bidders were also requested to bid on painting the decks and installation of PVC deck railing. Including these two options, LeClair’s bid totaled $900,000.

Lou expressed his discomfort with attempting to award the contract seeing only the bottom line numbers and requested the opportunity for all of the Trustees to review the actual bids that were submitted by the vendors in order to be sure what each is including in their price. Fred Aufiero will get copies of the complete bids and distribute them to all Trustees over the weekend. Fred suggested having an Executive Session meeting on Monday, April 15, 2002 at 7:00 PM at his unit (16M) to finalize selection of the contractor.

Old Business: None.

New Business: Lou DiNapoli reported that we have received a proposal from Truax Corporation for cleaning out all of the catch basins. There are 20 catch basins on Mitchell Grant Way and 6 on Shire Lane. These have not been cleaned in a long time and are very full of sand and debris. The first year cleaning price will be $1475, and lower in subsequent years ($745) if they are cleaned on an annual or bi-annual basis. Waverly Landscaping has given us a quote of $50 per basin ($1300) for this service. Fred suggested getting one more bid from the vendor that the Town of Bedford uses for comparative purposes.

Dick Bonz moved and Lou DiNapoli seconded the motion to adjourn the meeting at 8:05 PM.
